Dated 26th March 2025
Here is what we are setting out to achieve
This project involves a design and development of a new e-commerce platform for {{company_name}}. The clients' current site does not rank highly enough on common search engines and site traffic is low.
The new site requires an SEO strategy and the implementation of analytics so that campaign effect and performance can be monitored. The site must be simple to use and requires access to enable multiple users to upload new products, images, content and metadata.
The scope and tasks required to complete this project will follow the timelines outlined within in order to deliver the components at the associated costs listed. A list of deliverables and assumptions is included herein.
This project has been proposed to achieve the following objectives:
Objective 1
Design a clean, modern e-commerce platform that delivers a seamless and engaging user experience in order to maximise sales revenue.
Objective 2
Build a highly functional CMS which retains usability so up to five to ten user accounts may simultaneously access and upload content.
Objective 3
Ensure SEO and analytics are in place to maximise rankings and to help monitor campaign effectiveness.
Project Scope and Tasks
Below is set out the project scope of [WEBSITE NAME] as follows:

Project Scope
Below is set out the project scope of [WEBSITE NAME] as follows:
Step 1 - Discovery and Design
The process begins with understanding your business goals, target audience, and brand identity. Based on this, the theme presented in the proposal will be refined into a design concept. Design work will be done in Photoshop, and client approval will be required before moving forward.
Step 2 - Information Architecture
After design approval, the structure of the site will be established. This includes creating the navigation, defining page layouts, and planning site features.
The pages for the e-commerce site will include:

Step 3 - Development
With the architecture in place, development begins. The site will be built according to the approved design and structured to include the planned features. Social media integration, SEO functionality, and analytics setup will also be completed during this phase.
Step 4 - Testing and Launch
Once development is complete, thorough testing will ensure the website functions seamlessly across devices and browsers. Upon client approval, the website will be launched, with post-launch support provided to address any immediate needs.

Project Tasks
The tasks required to achieve the scope are as follows:
Task 1 - Site Design and Content Entry
Once the site design is completed and signed off, content provided to us will be entered onto the site pages. This will include text and pictures for each page to be created with the initial setup, along with metadata.
Task 2 - Checkout Payment Integration
Multiple payment options will be setup including Paypal, GoCardless and others to be confirmed. The entire shop experience shall be fully tested from general browsing through to product selection, checkout purchase and delivery notification.
Task 3 - Browser Testing
The site will be tested to make sure it works with a wide selection of browsers and to ensure it does not break when viewed on mobile devices or tablets.
Task 4 - Data Collection
A data collection popup invitation to the general mailing list as well as auto cart abandonment contact email will be set up.
Note:
The scope of this project is limited to the above-listed items and tasks. Any additional items will be counted as out of scope, and may only be added with separate authorization and approval from {{company_name}}. Extra items and tasks may only be added through the use of separate SOWs.
Deliverables & Components
What you will receive
Deliverables
The following deliverables will be associated with this project:
Deliverable 1 - E-commerce Site Design
Following your brief being sent to the designer, we will deliver two draft website design concepts within 2 weeks. One must be chosen for further development. We will allow for one round of editing before digital sign-off is required to move forward to the next stage.
Deliverable 2 - Site Framework
After the design is approved, the development phase will begin. This includes creating the framework of the site, implementing key functionalities, and integrating necessary tools or plugins. A basic but functional version of the site will be provided for review before proceeding to the next stage.
Deliverable 3 - Draft Version
Once we have been provided with the finalized content for the site, this content will be loaded in, and preliminary testing will begin. Digital sign-off will be required before deploying the site to the Staging Site for broader testing.
Deliverable 4 - Final Version
After final testing, edits, and approval, the site will be deployed to {{company_name}}'s domain at XYZ. At this point, we will provide the completed components, including site access credentials, a brief training guide (if applicable), and any necessary post-launch support details.

Components
The following components will be associated with this project:
Component 1 - Site Account & Login Details
Account and login details will be set up for one admin-level user, who can then create additional accounts at a user level. A 30-minute training session will be provided to guide the admin user on account management and basic site administration.
Component 2 - Site Backup
A hard backup copy of the files associated with the site will be delivered to the client on a USB stick. Additionally, a backup will be stored at [XYZ] location and instructions for regular backup processes will be provided.
Component 3 - Training Documents
A reference document outlining how to make updates to the site, along with a link to online resources, will be emailed upon completion of the site. The document will include step-by-step instructions for common updates, such as adding new products or blog posts.
Component 4 - Post-Launch Support
For 30 days following the site launch, we will provide complimentary post-launch support, which includes assistance with minor bug fixes, troubleshooting, and answering questions related to site functionality or usage.
