Switching from Proposify

First of all, welcome! It’s great to have you on board. Proposify is a decent platform which has been a mainstay in the proposal software industry for a good number of years. It has its differences to Better Proposals, but you’re in the right place if you want to level up your proposals and business documents.

Understanding the main differences

Proposify is all about pixel perfect design. Move this block two pixels to the left, this circle up by four pixels, change this font size a bit because it doesn’t fit in that block. In some ways, while it’s web based, it’s not too different from the formatting and “making it all fit on one page” problems when making a Word Doc.

With Better Proposals, you don’t design your proposals to fit a specific paper size. It’s a web document, so there is no end to the non-existent page. This eliminates 90% of the formatting frustrations you’d face with Proposify. That said, there will be things you can’t do with Better Proposals that would have felt like a standard in Proposify.

These are mainly things like resizing “just this bit”, moving something around at will or dragging an element here or there. Better Proposals works with a simple section and block system.

Your sections are parts of your proposal like the Introduction, Services, Pricing, Contract, etc. These are added down the left of the proposal viewer. This is also how you identify which section your potential client is looking at in the Analytics once the proposal’s been opened.

You have your different block types, say Content, Image, Video, Pricing, etc. You can simply add them by clicking on the plus sign between blocks.

Getting your Proposify Template into Better Proposals

There are two ways to get your templates copied from Proposify into Better Proposals. The first option is by copying and pasting your content into Better Proposals.

The second is by speaking to one of our friendly customer success advisors and getting them to help you using our template import service. Once you’ve upgraded your account, this workaround will be made available to you.

If you’re giving it a go yourself though, here’s some guidance. You’ve been through setting everything up in Proposify, so you’ll already have a half decent structure and the migration should be fairly simple.

In essence, you count up your sections in Proposify and add them into Better Proposals down the left like this:

Once you’ve done that, count out a few natural breaks for each section, add the correct number of blocks, and copy and paste the content. A 15-page proposal with 8 sections shouldn’t take much longer than 10 minutes to copy in.

What about historical data in Proposify?

Proposify allows you to export certain data views, such as your outstanding proposals, as a CSV file. This means you can export everything up to a certain date, save it internally, and know that anything that happens after that date will be in Better Proposals.

Proposify, naturally, also has a PDF export for each proposal. So, as time-consuming as it is, you can export all the relevant proposals as PDFs so you have them on file. Once you’ve done that and started sending new proposals from Better Proposals, you are free to cancel your Proposify account.
